Refund Policy

Refund Policy (For Course Deposits)

At Exena Learning Hub, we are committed to delivering high-quality training and education programmes. As part of our enrolment process, certain courses may require a deposit or upfront payment. This policy outlines the terms under which refunds may be issued.

1. Course Deposit Policy

  • For selected programmes, a deposit may be collected at the point of registration.
  • The deposit serves to confirm your commitment to the course and may be used to support administrative or application-related processes (e.g., grant applications, course material reservation, seat confirmation).

2. Deposit Refund Conditions

Deposits will be refunded in full upon the successful completion of the course, subject to the following conditions:
•The participant has achieved at least 75% attendance.
•The participant has met all course requirements, including assignments, assessments, or project submissions where applicable.
•The course has not been withdrawn from midway without valid reason.
 

3. Transfer or Deferment Policy

A refund of the deposit will not be issued if:
  • The participant withdraws from the course after the start date without valid or documented justification.
  • •The participant fails to meet minimum attendance or participation requirements.
  • •The participant is absent without notice, or is removed due to disciplinary reasons.

4. Course Cancellation or Postponement

If the course is cancelled by Exena Learning Hub for any reason, full refunds (including deposits) will be issued to all affected participants.

In the event of a postponement, participants may choose to:

  • Defer to the next run of the course, or
  • Request a full refund if the new schedule is not suitable.

5. Refund Processing Time

  • Approved refunds will be processed within 7 working days from the date of confirmation.
  • Refunds will be made via the original payment method unless otherwise specified.

6. Request for Withdrawal and Refund

  • Participants who wish to withdraw must notify us in writing via email to admin@exena.org
  • All withdrawal requests must include your full name, course name, course start date, and reason for withdrawal.
